Vendor Management Settings

Overview

Vendor Management Settings allow you to customize your organization's Vendor Management experience in a few different ways.

Where to Find Your Vendor Management Settings

To view or change your organization's Vendor Management settings, click on "My Organization" under the user menu:

Then click on the "Vendor Settings" tab:

There are currently four settings that can be customized for your organization. Each one is explained individually below:

Vendor View Restrictions

Vendor View Restrictions limit the visibility of certain Vendors based on custom criteria that you establish. Users with the "Manage All Vendors" permission are always able to see all Vendors, but for all other users these restrictions can be set. A common use case is to limit visibility for non-approved vendors outside of your organization's main Vendor Management team.

To create a restriction, click "Add Restriction". You'll see a list of all of your organization's Vendor Management attributes:

Select the attribute you want to base the restriction on, and that attribute will appear at the top of the modal:

Click the pencil icon to edit the details of the restriction and set the condition you wish to enforce:

Then click "Save" and you will see the new restriction in place:

There is no limit on the number of restrictions, but be aware that they are ALL applied at all times. So if you create a large number of different restrictions it may have the effect of severely limiting the number of vendors visible to your colleagues.

Spend Widget Settings

Spend Widget Settings allow you to preset custom reporting options for different tags in your Spend Data. The Spend Widget is a dashboard widget that summarizes your organizations' spend aggregated by tags that you set in your data upload. When you click on one of the tags in the widget you are redirected to a report page where we show you details of the individual Vendors comprising all the spend under that single tag. The settings on this page let you define thresholds for inclusion in that list.

Suppose for example that my organization tags its spend line items with either "Domestic" or "International". If I want my default report for "International" to only show me Vendors with whom we have spent more than 100,000 in "International" spending, I would click "Add Spend Widget Setting", set the Tag to "International" and the Value to 100,000:

Then click "Submit" and this setting is saved:

You can set different thresholds for different tag values:

Vendor Management CC Email

The Vendor Management CC Email simply lets you establish an address that you want to copy on invitation emails that you send to your Vendors from Vendorful. The common use case for this is to let a group in your organization know that a particular new Vendor has been invited to Vendorful.

Spend Tag Aliases

Our Spend Tags are completely flexible and customizable. You can use the three available tag fields in any way you wish. Typically our users will decide that "Tag 1" will be for one type of spend classification (for example "Country"), "Tag 2" will be for another type (say "Material"), etc. To make these choices clear to your users, you can set aliases for each tag. Then, for example, instead of displaying "Tag 1" in Vendorful, we will show you the word "Country". This generally helps avoid confusion and puts your whole team on the same page about your organization's spend data:
