User Permissions in Detail

If you've followed directions to navigate to an individual user's permissions, you will see a page that looks like this:

Here is an explanation of each permission. We've indicated in the list below which permissions apply to which type of organization, but note that if your organization doesn't subscribe to the module corresponding to a specific permission then that permission may not be relevant your company.

  • General
    • Organization
      • Edit organization (all orgs): Edit information about your organization, such as name, address, company description - high level information that will be visible to your vendors (if you're a buyer) or your buyers (if you're a vendor).
      • Manage taxonomies (buyers): Create and edit taxonomies that can be used to categorize vendors, products and events.
      • Manage request settings (buyers): Change global settings for the RFX module.
      • Manage vendor settings (buyers): Change global settings for the Vendor Management module.
    • Inbox
      • Access Inbox (all orgs): View and respond to messages through the Vendorful Inbox. Turning off this permission will also cause the user to not receive notifications about new messages, regardless of their individual notification settings.
    • Users
      • Edit users (all orgs): Edit name, email address, title and password for users within your organization. Although this will allow someone with this permission to reset other user's password in the event that they forget or lose it, that should never be necessary as we have an automated password reset process available from the login screen.
      • Manage user permissions (all orgs): Change the permissions on this page. If a user doesn't have "Manage user permissions", the "Permissions" screen isn't visible to them. IMPORTANT NOTE: This is the HIGHEST permission that you can grant to someone in your organization, as it allows them to give full access to any user INCLUDING THEMSELVES. Grant it wisely!
    • Templates
      • Manage templates (buyers): Create and edit RFX templates for your organization.
  • Sourcing
    • Requests
      • View all requests (buyers): View (but not edit) all past, current and pending RFX in your organization.
      • Accept requests (vendors): Accept incoming RFX on behalf of your organization.
      • Create requests (buyers): Create new RFX for your organization.
      • Manage all requests (buyers): Edit pending and current RFX in your organization, whether or not the user is a stakeholder on the event.
    • Auctions
      • View all auctions (buyers): View (but not edit) all past, current and pending reverse auctions in your organization.
      • Accept auctions (vendors): Accept incoming reverse auctions on behalf of your organization.
      • Create auctions (buyers): Create new auctions for your organization.
      • Manage all auctions (buyers): Edit pending and current auctions in your organization, whether or not the user is a stakeholder on the event.
    • Compliance events
      • View all compliance events (buyers): View (but not edit) all past, current and pending compliance events in your organization.
      • Accept compliance events (vendors): Accept incoming compliance events on behalf of your organization.
      • Create compliance events (buyers): Create new compliance events for your organization.
      • Manage all compliance events (buyers): Edit pending and current compliance events in your organization, whether or not the user is a stakeholder on the event.
    • Pipelines
      • View all pipelines (buyers): View all pipeline items in your organization, across all users.
      • Create pipelines (buyers): Create new pipeline items. By default the creator of a pipeline item becomes the owner of that pipeline item, and users can view their own pipeline items with or without "View all" permission.
      • Manage all pipelines (buyers): Make changes to other users' pipeline items in your organization.
  • Vendors
    • Vendor data
      • View all vendors (buyers): View all vendors and associated vendor attributes for your organization.
      • Manage vendors (buyers): Add new vendor records and edit existing vendor records for your organization. This permission also allows the user to create new vendor attributes and edit vendor templates.
      • View vendor notes (buyers): View (but not create) notes that have been added to your organization's vendors.
      • Edit vendor notes (buyers): Add notes to vendor records.
      • Manage contracts (buyers): Create and edit contract records.
      • Manage contract settings (buyers): Create new contract attributes and edit the set of attributes your organization records on contracts.
    • Spend data
      • View all spend data (buyers): View spend data associated with vendors inside the Vendor Management module. Also gives access to spend reports.
      • Manage spend data (buyers): Upload spend data and edit existing spend data records.
    • Performance management
      • Manage surveys (buyers): Create and manage survey templates, and set up and issue new surveys for vendors in your organization.
